Benton Harbor Children’s Art Fair Volunteer Job Positions

Officers:
President: (Pat Leonard) General charge of the business, affairs and property of the corporation, preside at all meetings, coordinate, manage, lead, and follow-up on information from the committees. Help prepare budget with Finance Committee and generally be the spokesperson in the community.
Secretary: (Judy Cassidy) Keep and distribute the minutes of the meetings, send reminders of meetings, and be in charge of all correspondence.
Treasurer: (Jim Brinkmann) Have custody of all funds and keep full and accurate accounts of receipts and disbursements in books belonging to the corporation, prepare budget with Finance Committee. Arrange for annual audit of corporation books between the event and the end of the month of the event. Audits are required by most grantors. Provide necessary reports and documents for officers of the corporation, Finance and Fund-Raising Committee. Update corporation 501c3 as needed with government agencies. Arrange for tax reporting to IRS and State of Michigan as required. Good business communication, organizational and leadership skills and experience. Self-starting. Team player. Willing to work at the macro and detail levels. Good interpersonal skills. Knowledge of ethical accounting principles an procedures.
Committees:
Finance and Fund-Raising Committee and Manager: (In need of manager and committee members) Prepare budget, develop donor and grant list from which to write grants and prepare letters for funding requests, solicit booth sponsors, oversee all fund-raising and fund-raising projects. Led by Finance and Fund-Raising Manager. Manager skill requirements: Good business communication and leadership skills and experience. Self-starting. Team player. Willing to work at the macro and detail levels. Good interpersonal skills.
School Connection Committee and Manager: (In need of manager and committee members) Create connection plans, guidelines, schedules for the “Clothesline Art Show” exhibition on the day of the art fair. Encourage and recruit participation. Distribute guidelines and information to teachers and students. Arrange for collection, display and return of artwork. Led by School Connection Manager. Manager skill requirements: Good communication, organizational and leadership skills and experience. Self-starting. Team player. Willing to work at the macro and detail levels. Good interpersonal skills.
Activities and Performing Arts Committee and Manager: (In need of manager and people) Develop and coordinate hands-on art activities. Solicit artists and volunteers to run the art booths or art stations. Acquire materials not provided by the artist or organization. Provide checklist of physical needs (tables, chairs, water, electricity) to Events Facilities Committee checklist of number of volunteers needed by activity (including setup and cleanup) to Volunteer Manager. Order number of volunteer t-shirts needed and ask returning volunteers to wear their old shirts if they are still in good condition. Research performing artists within guidelines and budget constraints of the art fair. Oversee all communications and arrangements, including contracts, scheduling, facilities requirements. Led by Activities Manager. Manager skill requirements: Good ,communication, organizational and leadership skills and experience. Self-starting. Team player. Willing to work at the macro and detail levels. Good interpersonal skills.
Publicity and Marketing Committee and Manager: (In need of manager and committee members) Design and arrange for printing of marketing material: posters, fliers, etc. Contact newspaper, radio, television to arrange for promotion of the events. Work with businesses surrounding the event venue to explain the event and address any concerns as well as gain their support. Led by Publicity and Marketing Manager. Manager skill requirements: Good communication, organizational and leadership skills and experience. Self-starting. Team player. Willing to work at the macro and detail levels. Good interpersonal skills.
Food and Beverage Committee and Manager: (In need of manager and committee members) Solicit and secure vendors for food and beverage booths. Arrange for necessary permits from city and health department. Led by Food and Beverage Manager. Manager skill requirements: Good communication, organizational and leadership skills and experience. Self-starting. Team player. Willing to work at the macro and detail levels. Good interpersonal skills.
Transportation Committee and Manager: (In need of manager and committee members) Contact Dial-a-Ride to provide required handicap-accessible and non- handicap-accessible transportation between Krasl Art Fair on the Bluff and Benton Harbor Children’s Art Fair venues and from Benton Harbor parking lots near the venue. Work with city and police to provide safe accessible auto parking, drop off and pickup locations. Manager skill requirements: Good communication, organizational and leadership skills and experience. Self-starting. Team player. Willing to work at the macro and detail levels. Good interpersonal skills.
Volunteer Committee and Manager: (In need of manager and committee members) Maintain and expand volunteer list. Coordinate with all other committees to get volunteer requirements. Develop volunteer schedule and communicate it to volunteers and committees. Led by Volunteer Manager. Manager skill requirements: Good communication, organizational and leadership skills and experience. Self-starting. Team player. Willing to work at the macro and detail levels. Good interpersonal skills.
Event Facilities Committee and Manager: (In need of manager and committee members) Work with all other committees to determine technical planning, design layout of activities and facilities requirements. Arrange for all facilities, and city permits. Provide tents, tables, chairs for activities. Provide toilets, wash stations, electricity, water, trash barrels, trash pickup for the events. Provide emergency ambulance and police support for the event. Provide overnight security on the day before the event to protect the facilities. Led by Events Facilities Manager. Manager skill requirements: Good communication, organizational and leadership skills and experience. Self-starting. Team player. Willing to work at the macro and detail levels. Good interpersonal skills.
